Major Duties

Under general supervision, the Campus Scholarships Coordinator plays a critical role in ensuring the success of campus scholarship programs from start to finish. The incumbent is responsible for program administration, scholarship competitions, donor engagement, and staff direction. This includes developing scholarship programs and materials, coordinating annual competitions, and collaborating with both internal departments and external partners to align with student needs and donor expectations. The role also requires ongoing fund monitoring, reconciliation, and reporting to ensure compliance and transparency. Additionally, the Coordinator supports students by offering workshops, resources, and guidance to strengthen their ability to secure funding, while recognizing awardees and fostering positive donor relations.

  • Provide oversight and direction to Scholarship staff.
  • Develop, initiate, and refine scholarship programs and activities.
  • Conduct scholarship committee meetings to review applications and select recipients.
  • Oversee daily QLess operations to ensure timely and efficient student service delivery.
  • Perform monthly and year-end reconciliation on all scholarship accounts.
  • Advise students and prospective applicants on scholarship research and application strategies.
  • Plan and coordinate recipient events to recognize scholarship awardees and engage donors.
  • Performs other duties as assigned.

Qualifications

  • Equivalent to graduation from a four-year college or university in a related field. Upper division or graduate coursework in counseling techniques, interviewing, and conflict resolution, where job-related, is preferred.
  • Equivalent to three years of progressively responsible professional student services work experience.
  • A Master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of the required experience.
  • Additional specialized and relevant experience may be substituted for the required education on a year-for-year basis.            

 

Knowledge, Skills, & Abilities

  • Knowledge of scholarship administration, financial aid processes, and donor stewardship practices, with the ability to develop and refine programs, web content, and promotional materials.
  • Technical proficiency, including experience with scholarship management platforms, data imports, and identifying technology solutions, with the capacity to collaborate with systems teams to implement effective digital tools.
  • Analytical and financial skills to perform accurate monthly and year-end reconciliations, generate reports for leadership, and ensure compliance with institutional and donor requirements.
  • Planning and organizational abilities to design and manage an annual scholarship calendar, prepare committee materials, process applications, and resolve disbursement issues in a timely manner.
  • Skills in student engagement and communication, including conducting workshops, advising applicants, responding to inquiries and appeals, and publicizing scholarship opportunities to maximize participation.
  • Ability to foster collaboration across faculty, administrators, community partners, and donors, and to coordinate recognition events that highlight student achievements and strengthen donor relations.

 

Pay, Benefits, & Work Schedule

  • The university offers an excellent benefits package, including but not limited to: medical, dental, vision, retirement and savings plans, tuition waiver, and more.
  • Classification: Student Services Professional III / 3084 / 1
  • Anticipated HIRING RANGE: $5,540 - $5,817 per month, dependent upon qualifications and experience. The salary range for this classification is: $5,540 - $7,893 per month.
  • HOURS: Full Time; 40 hours per week; Monday through Friday; may include evenings and weekends.  
  • This is a regular position with a one-year probationary period. 
  • The position is currently hybrid (3 days in office, 2 days remote); however, this is subject to change based on student and/or operational needs.
